Privacy Policy

This is a plain explanation of what we collect on this site and why, for the Battlefield Run 2026 & Tsavo Cultural Festival, run by the Taita Taveta University Endowment Fund.

What we collect

When you register, donate, sponsor, exhibit, volunteer or buy merchandise, we collect what is needed to run the event and confirm your involvement: your name, contact details, and, for race registration, your ID or passport number, date of birth, gender, nationality, emergency contact and T-shirt size. Payment reports (a transaction code, and, if you choose to add one, a screenshot of the payment) are kept to verify payments and are only visible to staff who handle finance.

Why

To register you for a race category, confirm and reconcile payments, issue e-tickets and certificates, check you in at the event, contact you about the event (including changes and safety information), and keep an audit trail the organisers are accountable for.

Photographs and video

If you agree to it when registering, photographs and video recordings taken during the event may be used by the organisers for promotional, publicity, documentary and communication purposes, in print, digital and social media, without compensation.

Who sees it

Your details are visible to organising staff who need them for their role, and to no one else. A private link is used instead of requiring an account, so keep any link we email you to yourself; anyone holding it can see and manage that registration.

Your rights

You can ask to see what is held about you, or ask for your personal details to be removed, by contacting the organisers. Records the organisers must keep for their accounts and audit trail (amounts, dates and statuses) are kept even after personal details are removed.
